The Rhythm of The Village

Campus operating board · The Village at Woods Edge, 1401 North High Street, Franklin, Virginia

Design concept

One campus, one board. The Village's own homepage describes its rhythm as "a friendly wave to a stranger, a conversation with friends over a frosted pitcher of sweet tea." So this board is built the way a single campus is actually run: a site plan you can point at, five numbers a director can hold in her head, and one panel about whether people are eating together. No portfolio roll-up, no league table of sister communities. The palette is the brand green from villageatwoodsedge.com with a sweet-tea brass accent.

What is real and what is not. Two figures on this page come from The Village's own public pages: the community publishes 13 Independent Living floor plans and 4 Assisted Living floor plans on villageatwoodsedge.com, and describes itself as "enriching the lives of seniors for over 35 years."1 Those floor plan names and square footages are used verbatim below. Every count, rate and trend on this board is illustrative, built so the arithmetic holds together (occupancy chains month to month from move-ins and move-outs, subtotals add to totals, shares add to 100 percent). It is a demonstration of a board BI Consulting Services would wire to your own systems, not a measurement of your operations.

The campus at Woods Edge

Panel 2 · signature view

A plan view of the single campus on North High Street, shaded by occupancy. Cottages are drawn one by one, so a vacant cottage is a square you can see. The wooded edge the community is named for runs along the Blackwater side; the YMCA and Cypress Cove Country Club sit next door, as the Franklin page on villageatwoodsedge.com describes.

The line is end-of-month occupancy against the plan line. The bars underneath are move-ins and admissions in that month.

Nobody eats alone

Panel 5 · resident life

The Village's own copy puts the dining room at the center of the day: "whether it's a casual meal with a close friend or a lively happy hour at The Back Porch & Grille, a rich life is all about the food." So this panel counts companionship, not covers. A meal is "shared" when a resident sat with at least one other person.

Ask the data

Panel 6 · plain language

Type a question the way you would ask a colleague. The answer is computed from the same numbers the panels above are drawn from, for whatever filters are currently set.

This runs on your own server. The question, the numbers and the answer never leave your network. No resident detail is sent to an outside model, and the board keeps working if the internet does not.

Three things that should stop being done by hand

Panel 7 · automation

Hours below are illustrative, sized for a single campus of this scale, not measured at The Village.

The Monday census pack

Runs 5:00 am, every Monday
Replaces
Someone pulling census, move-ins, move-outs and the Advantage Club list into a spreadsheet, then pasting it into an email before the leadership meeting.
Instead
The pack builds itself overnight and lands as one page: occupancy by level, what changed, and the three vacancies that have been open longest.
14 hours a month returned

Tour follow-up that does not get dropped

Runs hourly
Replaces
Sales and marketing checking the chat widget, the web form and voicemail separately, then keeping follow-up dates on a notepad.
Instead
Every inquiry lands in one queue tagged by level of living and floor plan, with a nudge to the right person when a tour has had no contact in 48 hours.
22 hours a month returned

The enrichment calendar, written once

Runs on publish
Replaces
Rebuilding the monthly calendar as a PDF, then hand-uploading it to the site, where September's version can still be linked in October.
Instead
One calendar source publishes the website page, the printed sheet and the family email together, so the three can never disagree.
9 hours a month returned

Together these three return roughly 45 hours a month, about a quarter of one full-time position, and they are the three tasks most likely to be sitting in one person's head rather than in a system. The hours are illustrative; the tasks were inferred from what is visible on villageatwoodsedge.com, including a September enrichment calendar still linked from the Assisted Living page in October.
